Get up and running with GymBud

Everything you need for your first day: getting access, setting up your gym, adding your first student, and recording a payment.

Getting access

GymBud is invite-only, so there's one extra step before your first sign-in.

Request access

Email kush@withdach.com with the email address you'd like to use for your gym account. Once it's approved, you can sign up with that same email.

Sign up

Open the app and tap Create an account. Enter your email, a password, and your phone number.

Verify your email

You'll receive an 8-digit code by email from noreply@withdach.com — it's valid for one hour. Enter it on the verification screen to confirm your account.

Note — if your email wasn't pre-approved yet, you'll see a "pending approval" screen after verifying. That's expected — you'll be able to log in as soon as it's approved on our end, no need to sign up again.

Set up your gym

A short one-time wizard runs the first time you sign in.

Gym identity

Enter your gym's name and a short slogan — these appear on your dashboard and splash screen.

Add your first membership plan

Give it a name (e.g. "Monthly", "Quarterly"), a duration, and a price. You can add more plans anytime later from Settings → Plans.

You're in

That's it — you'll land on the Dashboard. Branches, programs, batches, and belt ranks are all optional and can be configured later from Settings if your gym uses them.

Add your first student

From the Students tab, tap the add button and fill in the basics.

Name and contact details

Add their name and phone number. For a minor, a guardian's name and phone are required instead — the student's own phone is optional in that case.

Branch, batch, and belt rank

If you've set these up, assign the student to a branch and batch, and pick a belt rank. All of these are optional — skip any you don't use.

Save

The student now shows up on your Dashboard and Students list — and syncs to the cloud automatically the next time you're online.

Record a payment & track renewals

GymBud calculates expiry dates for you, and reminds you before a membership lapses.

Record the payment

From the Payments tab, add a payment for a student: pick their plan, the amount, and the payment method. The expiry date is calculated automatically from the plan's duration.

Let GymBud watch renewals for you

The Due Renewals screen lists everyone coming up for renewal. You'll also get a push notification a few days before a membership expires (the exact number of days is configurable in Settings).

One-tap SMS

From Due Renewals, tap Send to open a pre-filled SMS reminder to that student — one tap, no typing required.

A few things worth knowing

Works without internet

GymBud is offline-first — add students, record payments, everything works with no connection. It syncs automatically to the cloud the moment you're back online, so your data is never lost.

Give staff their own login

Under Settings → Staff Access, you can create up to two staff logins with restricted access — they can manage students and payments, but can't see your revenue figures or gym-wide settings.

Your data stays private

Only you (and any staff you invite) can see your gym's data. Everything is backed up automatically — reinstalling the app or switching phones restores everything after you sign in.

Check your Dashboard daily

Your Dashboard tiles — Total Students, Due Renewals, Unpaid Fees, Active Members — are the fastest way to see what needs attention today.
